Job Description
The Admin Assistant for General Services Management is responsible in performing a variety of administrative and clerical tasks particularly but not limited to company service vehicles, service providers, fuel reimbursement and fleet card usage, invoicing and providing support to Admin Head and all employees, assisting in daily office needs and managing the general administrative activities.
  • In-charge in scheduling request of company service vehicles for official business trips of employees.
  • Responsible in the annual registration and maintenance of service vehicles.
  • Regularly checks the trip ticket specifically on the details entered by the driver.
  • Monitors the fleet card usage
  • Checks the fuel/toll fee reimbursements
  • Conduct physical/visual inspection of service vehicles
  • In-charge in the management of service providers such as security, housekeeping and utility services to maintain a balance and clean office environment.
  • In-charge in the invoicing of payment request for service provides, company cellular phone charges, utility bills, fuel/toll fee reimbursements and petty cash replenishment.
  • Assist in the preparation of regularly scheduled reports, organize and schedule appointment, take detailed department meeting minutes.
  • Assist in processing insurance claims
  • Maintain a filling system but not limited to service vehicles pertaining to its OR/CR, permits & licenses and others.
  • Perform other tasks or special projects that may be assigned from time to time. 
Competencies and skills required:

  • Proficiency in MS Office applications
  • Proven experience as an Administrative Assistant
  • Demonstrate accuracy and thoroughness
  • Able to communicate effectively with all internal and external clients
  • With high regard to customer service both internal and external
  • Can work within deadline and complete work in timely manner
  • Knowledge of office management systems and procedures and with working knowledge of the office equipment
  • Can be assigned as "officer-of-the-day"
