Job Description

1) INVENTORY MANAGEMENT

Plan and schedule product lifting for respective Plant, in-line with inventory allocation, through effective scheduling of vessels and trucks as well as initiating appropriate mitigation measures to avoid bin top or bin bottom situations which could lead to operational, commercial and financial exposures to the company.

Responsible to highlight to Superiors on any deviation from plan due to any planned/ unplanned events including but not limited to changes in vessel schedule, truck availability, product shortage etc that could lead to potential bin top or bin bottom to enable Superiors to take relevant actions to address the situation.


2) SUPPLY OPERATIONS OPTIMIZATION

Plan and execute the sales operations by coordinating and managing the distribution of supply as well as balancing the requirement from all parties; plants, customers and supply & distribution (centralized logistics) department through efficient operations order management and assist in the effective implementation of process improvements to minimize cost, reduce exposure and optimized margin.

3) OPERATIONAL MANAGEMENT

Plan and execute sales transactions in line with company policies and procedures and statutory regulations as well as finalizing in the system of reporting to capture accurate value deal to minimize operational and financial exposures.

Execute month-end closing activities effectively and efficiently to ensure that the monthly accounts between companies and Plant are accurate and can be generated in a timely manner.

4) CONTRACT MANAGEMENT

Plan, execute and control contract performance by ensuring the respective party's obligations are fulfilled and to address and assist in resolving any dispute or breach of contract amicably in order to safeguard of the company and shareholders interest. Also responsible for providing input and review the contract prior to sales team finalizing the contractual terms.

Provides advice and guidance to junior operations executives on negotiation, preparation and finalization of operational terms and conditions in all contracts or arrangements concluded by the sales team.

5) OPERATIONAL EXCELLENCE

Ensure close liaison and coordination with plant, supply & distribution department and customers on cargo movement and efficiently communicate on issues related to loading accidents, off-spec cargoes, demurrage, dead-freight, vessel delay, port congestion etc. to minimize operational exposures and ensure timely delivery.

Provides assistance to operations executives in managing customers’ operational matters including proactively advising and assisting customers in resolving operational issues in order to strengthen relationship with customer and nurture customer trust in company image and reputation as a reliable supplier.

Identify system gaps and develop initiatives on system improvements targeted on operational excellence and efficiencies with the aim to minimize cost, reduce man-hours and risk exposure.


6) SALES (DELIVERY) PERFORMANCE TRACKING AND REPORTING

Prepare weekly sales delivery performance reports for respective Product/Plant through analysis of sales volume versus target/plan to ensure effective tracking and update Superior on any deviation.

Prepare monthly sales delivery performance reports for respective Product/Plant through analysis of sales volume versus target/plan to ensure accurate reporting and update Superior on carry-forward quantities and month-end closing inventory.

Prepare monthly Order Fulfilment Reliability report through analysis of actual date of orders delivered versus customer requested date to ensure timeliness of delivery and accurate reporting.

7) CLIENT MANAGEMENT

Provide guidance to operations executives in managing and providing after sales service or technical assistance pertaining to customer complaint management in order to safeguard PCG business interest and reputation.

Execute client management plan through customer relationship programs such as regular visits, exchange of industry information and networking sessions.

8) TRADE ACCOUNTS RECEIVABLE (TAR) MANAGEMENT

Execute and responsible for the collection of monies by monitoring payments/ remittances and control via strict adherence to Letter of Credit (LC) which the incumbent has the final say on its completeness.

Responsible for reconciliation of price adjustment with plants and customers upon availability of final price through consolidation of deliveries prior to issuance of credit or debit note in order for the settlement of payment and claims

Accountable for the shipment and invoicing details through evaluating and analyzing the data between plants and customers to ensure accuracy of data for finance’s reporting

QUALIFICATION & EXPERIENCE



- Undergraduate degree in a technical / Transportation / science field or a business/ marketing / finance-related

Experiences:-

- 1-3 years working experience in handling of operations, logistics business activities with refineries, plant, terminal and marketing and also has experience in international trades/business
