Job Description


ABOUT OUR CLIENT
We are representing a branded and lifestyle shopping mall, joint venture by great players of Malaysia and Japan. The mall will be a fusion of Japanese and international retailers to complement highly popular local Malaysian brands. It will bring new discoveries, experiences and urban lifestyle to the people of Kuala Lumpur through its concepts.

ROLE AND RESPONSIBILITIES

Mall Setting Up and Opening
  • To assist in all aspects of the mall management including but not limited to leasing and tenant relations, business planning and financial management, facilities and operational management, inspection, and safety functions.
  • To assist in organizing the operations of a leasing department to maximize profit and work efficiency.


Conceptualization & Implementation of Leasing Plan
  • To assist in developing the conceptualization of leasing plan and strategies including but not limited to the development of attractive leasing packages, merchandising mix plan, product placement plan and tenant bundling.
  • Ensure the successful leasing of retail, food & beverage and services outlets, in line with the commercial terms set out in the leasing budget, as well as the pre-determined strategy.
  • To assist in organizing, planning, monitoring, and to ensure effective implementation of the leasing plan.
  • Constantly look out for the latest retail concept / brands / products and services, and to ensure that the merchandising mix of tenants achieves the positioning of the project as a lifestyle destination for retail, F&B, and leisure activity.
  • To attract new leases at competitive market rates and leasing packages to achieve maximum occupancy and ensure good return yields.
  • To assist in market research and competitive analysis to obtain up to date marketing intelligence that would lead to maximizing the mix and quality of the tenant representation within the project.
  • Conduct presentations and site visits for prospective tenants.
  • To assist in background checks on potential tenants to evaluate their credit status and records to determine if they are eligible occupy a building.


Tenancy Negotiations and Confirmation
  • To assist in lease management related activities for a portfolio of properties which includes initiating, negotiating and executing lease renewals, lease restructuring, management of rental arrears and working with solicitors on legal actions.
  • Liaison with agents, prospects and tenants, conduct sales call and presentations.
  • To assist in negotiations of price, as well as matters relating to sales and tenancies.
  • To assist in tenancy negotiations for new tenancies, renewals, or termination of tenancy, recommend terms and conditions as per the leasing plan and budget, and to formalize letters of offer and agreements.
  • To assist in the administration and adherence of lease terms and conditions by Landlord and tenants.
  • To ensure that the details as per Tenancy Agreement are fulfilled by the tenants prior to trading commencement or cessation of trading upon expiry i.e. deposit payment, applications / approvals from relevant government agencies, documentation, vetting of design and layout, and etc.
  • Work with the tenant coordination team in transitioning from executed contracts to the handover of tenant spaces and commencement of fit-out to start of business.
  • Closure and documenting of Letter of Offer and Tenancy Agreement.
  • To assist in the compilation of weekly and monthly reports on the status and performance of leasing activities.
  • To assist in preparing annual budgeting of leasing.
  • To liaise closely with mall operation departments in matters pertaining to design, fit-out, promotions, building maintenance, security, and other operations matter.
  • To assist Finance and Credit Control department in administering timely rental payment from tenants and to suggest methods of reducing trade debt.
  • To handle leasing enquiries and to make necessary recommendations.
  • Arranging and taking prospects and agents for viewing of vacant property for lease
  • To liaise with the appointed solicitors in legal issues pertaining to tenancy administration.
  • To assist in property tax matters which includes vacancy refund claim, review of annual values, objections and appeal.
  • To assist in setting up an effective lease administration filing system, maintaining, and updating all leasing records.
  • To assist in verifying all bills and invoices incurred by the team before submitting for approval and payment action.


Tenancy Liaison
  • Maintain strong relationships with tenants in order to facilitate the inclusion of their concepts as part of the master strategy and to build and maintain relationships.
  • Work alongside tenants to understand their expansion requirement, negotiate and execute new leases.
  • Attend to tenants’ complaints / problems on lease related issues.
  • To assist in customer survey and follow up for service improvements.
  • To conduct regular checks on tenants’ outlet and to liaise with tenants on merchandize mix, operating hours, cleanliness, faulty furniture / fittings, staff services, accuracy of sales submission, timely payment, and etc.
  • To assist in monitoring and analyzing tenants’ sales and overall performance.
  • Liaison with agents, prospects and tenants, conduct sales call and presentations.
  • Develop tenant profiles and accurate databases for each tenant category so as to facilitate information retrieval and ensure a proper follow-up.


Leasing Administration
  • To prepare, update, and maintain all leasing database / reports including tenants’ profile, offer letters, tenancy agreements, daily correspondences, proposals, legal documents and etc.
  • To keep track all deadline and progress report for tenancy agreement, lease negotiations, offer, and legal matters.
  • To assist in setting up an effective tenancy administration filing system.
  • To liaise with the appointed solicitor for all legal matters.
  • To liaise closely with inter-departments for matters pertaining to deposit collection, outstanding rental, promotions, building maintenance, security, and other operation matters.
  • To assist Finance and Credit Control Department in administrating timely rental payment by tenants and to suggest methods of reducing trade debt.
  • To assist in leasing renewal and negotiation matters as well as marketing campaigns of the retail mall.


Leasing and Prospecting
  • To attend to walk-in and telephone enquiries on leasing and retail lots.
  • To do prospecting for new and interesting retail concepts to improve tenant mix.
  • To identify suitable prospective tenants and make recommendations for vacant lots and replacement for existing tenants.
  • To conduct market research on shopping malls in order to keep abreast with the current retail trends in market for benchmarking purposes.
  • Support in the planning and implementation of tenancy mix in retail mall.


Fit-Out Coordination
  • To assist Development department in coordinating on renovation and fit-out matters including timely submission of renovation plans, drawings, and perspective in accordance to standard guidelines.
  • To facilitate the compliance of all technical requirement prior to the commencement of business by the tenants.
  • To witness the handover and vacant possession of Demised Premises according to the conditions stated in the Tenancy Agreement.


QUALIFICATIONS AND EDUCATION REQUIREMENTS
  • Possess a Diploma or Degree in Marketing, Business Studies, Property Development, Estate Management or relevant discipline.
  • More than two (2) years’ experience in Leasing Management with proven track record.
  • Candidates with extensive experience in leasing will also be considered.
  • Preferably with related experience in Marketing and Leasing of high-end commercial properties.
  • Possess good command of both written and spoken English and Bahasa Malaysia.
  • Ability to converse in Mandarin will be an added advantage.
  • Four (4) full-time vacancies available.
