Job Description
Responsibilities

To provide support to the Legal Department by handling all administrative matters concerning the Department, which will primarily entail the following tasks: 
  • Checking, editing, preparing the principal standard form agreements; forwarding the same to the relevant departments for execution; arranging for the timely stamping and/or registration with the relevant stamp office/High Court; returning the same to the relevant departments;
  • Assisting the relevant departments with the stamping of other agreements, such as ISDA Master Agreements, Islamic Derivative Master Agreements, Global Master Repurchase Agreements, IT Agreements and Non-Disclosure Agreements, with the relevant stamp office;
  • Labeling, filing, storing, scanning, archiving, photocopying, managing and/or maintaining register of, the principal standard form agreements in physical and digital forms;
  • Drafting, preparing and faxing letters/memos for the Legal Department;
  • Taking dictation and preparing minutes, when necessary;
  • Cross-checking and amending the principal standard form agreements, when required;
  • Providing support for legal due diligence;
  • Creating e-back up of all principal standard form agreements and depositing with the IT department for off-site storage;
  • Liaising with other departments, external solicitors and other authorities such as the relevant stamp office, High Court and land office, when necessary;
  • Coordinating and scheduling meetings for the Legal Department; and
  • Other administrative tasks as may be assigned from time to time.
Requirements:
  • Diploma in Secretarial and Administration.
  • 5 years of working experience in a legal firm.
  • Basic knowledge of legal documentation.
  • Experience and diligence in carrying out administrative duties.
  • Good communication and writing skills.
  • Skills/competencies include customer service oriented, concern for order and quality, demonstrates teamwork and cooperation, and achievement oriented.
