Job Description

You are an important component in the business , as a Sales Assistant, you will be responsible for assisting the Tour Consultants with their clients and bookings.

Your day could see you:

• Daily touch base with TOUR CONSULTANTS to organize the day based on TOUR CONSULTANTS to do list and overall leads

• Create daily planners on Peak 15 for TOUR CONSULTANTS clients

• Be cc’d on emails to learn about the client’s needs and progression of sales and answer TOUR CONSULTANTS emails and Texts

• Create inquiries, contacts, and tasks for TOUR CONSULTANTS when needed

• Process TOUR CONSULTANTS bookings – quality control for names, rosters, flights (second pair of eyes after TOUR CONSULTANTS)

• Prepare final documents and dossiers for clients

• Assist operations in TOUR CONSULTANTS bookings – quality check being key here as well

• When not working on TOUR CONSULTANTS files, be back up for TCS (Tour Consultants)

• Continuously work on personal knowledge of our destinations

• Assist with bookings and maintain the files with up to date details

• Answer incoming calls in a professional manner

• Confirm required services with third party suppliers

• Assist with financial aspects of bookings according to company guidelines

• Ensure all booking details are complete and accurate in accordance with department guidelines

• Learn about our destinations in detail and work with Product and third party suppliers to learn about exciting new options available for our clients

• Meet or exceed established the business' standards

• Create and manage proactive organization system for groups

• Create and manage excels

• Advocate for client with suppliers for quick answers, better prices, and good quality

• Market itineraries outside to organizations

• Collaborate with appropriate departments to coordinate all client documents, and assist with guest/TA contact

• Sales projects as determined by TOUR CONSULTANTS

• Maintain excellent business relationships with representatives from our suppliers.

• Prepare and manage assigned projects related to development to our destination

• Other administrative duties as assigned.


• Amenable to work on shifting schedules, weekends and Holidays

• Must easily adapt to ever- changing circumstances.

• Ability to read, analyze, and interpret emails, supplier manuals, professional correspondence, technical procedures, and trade websites. Ability to effectively present information in an organized, logical and easy to follow format. Excellent writing skills including Spelling, proper punctuation, grammar, and business writing is a must. English must be easily understandable on the telephone as well as in person

• Must be highly proficient in Microsoft Office, in particular Word and Excel. Ability to quickly learn our CRM software and utilize it to its fullest extent

• Must have excellent customer service skills and be able to maintain positive working relationships with other members of staff. Self-motivated person who is able to remain focused, calm and even tempered even in extremely busy conditions. Must have a strong sense of honesty to clients and loyalty to the business.
