  • Perform various administrative and project related activities in support of two leaders based in Singapore. Support includes full calendar management: Accepts/Declines meeting invites; Manages calendar conflicts; Manage & maintain calendar logistics; schedule conference rooms & audio bridges; schedules all meetings, customer/external meetings/events, open forums, planning sessions

  • Communication: distribution of organization communication; manage leader bios and external speaking engagements

  • Event Coordination: Facilitate Quarterlies/Teambuilding Events; Support of local site events

  • Attend/Participate in direct manager staff meetings: logistics for staff meetings/staff meeting agenda ownership

  • All travel arrangements: Passport, Visa's, air shuttle, domestic and international

  • Monthly Status Report Collection

  • Manage Staff Level SharePoint/Microsoft Teams

  • Proactively partner and take an active role across the broader global Sales and Marketing admin community

  • Required training tracking/reporting for the organization

  • Manage Operating Rhythm of the team

  • Expense Report bottom’s up and actuals tracking

  • Maintain group public distribution lists

  • Org Chart creation/maintenance

  • Master Rolling calendar Creation/Maintenance

  • Support Hiring/Termination Activities

  • Work performed within generally defined parameters. Judgment and decision-making ability required in resolving moderately complex problems

  • Supports team morale and inflexion point initiatives


  • Bachelor Degree in any related field with 8+ years of experience supporting senior level leaders is required

  • Independent self-starter able to make decisions

  • Operates with a high level of integrity and discretion

  • Experience managing various tasks that may arise, pre-empting activities, and prioritising workflow whilst maintaining commitment to deadlines

  • Excellent communication skills. Including strong written and verbal English

  • Ability to navigate a complex matrix organisation

  • High level of accuracy, reliability, and availability

  • Able to work a flexible schedule and manage time zone differences

  • Confidence to interact with senior stakeholders, all levels of the organization, and external contacts who are from diverse cultural backgrounds around the globe

  • Solid computer literacy skills, including Outlook, Word, Excel, and PowerPoint

  • High level of initiative with the ability to learn new concepts quickly

  • Ability to speak up and connect with admin peers for best practice sharing and collaboration
