Company Profile
We are representing a Logistics company that is engaged in logistics and package delivery services to look for HR Manager to be based at the Petaling Jaya Branch.

Job Responsibilities


  • Implement effective recruitment, establish and apply effective retention strategies including career development, learning and work environment.
  • Designing and reviewing job descriptions for all positions at regular intervals and updating them in consultation with the respective managers.
  • Collaborate with hiring managers to identify future hiring needs.
  • Prepare report on key HR metrics, including time-to-fill, time-to-hire, source of hire, turnover rate and other reports as necessary.
  • Participate in job fairs and host in-house recruitment events to source for candidates for specific job positions.
  • Sourcing potential candidates from various online channels as well as advertise job openings on company’s careers page, job boards and internal circulation.
  • Screen incoming resumes and application forms.
  • Conducting interviews and providing the necessary inputs during the hiring process.
  • Interview candidates via phone, video and in-person.
  • Provide shortlists of qualified candidates to hiring managers and coordinate with hiring managers and candidates for scheduling interview appointments.
  • Prepare and distribute assignments and numerical, language and logical reasoning tests to candidates. Assist and advise hiring managers on hiring procedure.
  • Administration of all Letter of Offer.
  • Send job offer emails and answer queries about compensation and benefits
Compensation and Benefits
  • Manage the salary budget to ensure costs are within budget & provide accurate information to support annual operating plans and salary reviews.
  • Design compensation packages and bonus programs that align with the company’s strategic plan and ensure it complies with the current legislation.
  • Keep track of prevailing pay rates and structure compensation in ways that will yield the highest value for the organization.
  • Identify trends and implement new compensation & benefit practices to engage and motivate employees by conducting research on employee satisfaction (e.g. using surveys and quantitative data).
  • Evaluate and report on the effectiveness of employee benefit programs.
  • Preparing and processing timely distribution of salary, bonus, increment salary slip, leave encashment and full/final settlements reports.
  • Maintaining HR records, prepare and provide report to the Management & Finance as necessary.
  • Handling insurance related issues and keeping records of staff insurance and ensuring timely renewal.
  • Ensuring and liaising with all government agencies to ensure adherence to compliance.
  • Recording, maintaining and monitoring attendance to ensure employee punctuality.
  • Maintaining and regularly updating master database (personal file, personal database, etc.) of each employee.
  • Checking any claim expenses and record in relevant software for timely credit of the amount into employee's accounts.
  • Preparing any related HR letters.
Industrial Relation

  • Review, formulate, develop and implement Human Resource policies, Standard Operating Procedures (SOP) and guidelines to ensure compliance and effectiveness.
  • Attend to all disciplinary issues, staff counseling & grievances, terminations and other employee related matters in compliance with labour laws.
  • Work with company management to strategically plan HR initiatives that will benefit the company and encourage more efficient and beneficial work from employees.
  • Continually educate employees on company policies and keep employee handbook current and up to date.
  • Monitor employee progress and stay abreast on company climate and culture, ensuring it stays positive and productive.
  • Foster cross-functional relationships and ensure managers and employees are properly connected.
  • Regularly meet with employees for progress reviews and assessments, discussing any problems or grievances they may have.
  • Responsible for all Industrial Relations activities for the Company, including handling all matters related to disciplinary actions, grievances, counselling and staff misconduct.
  • Conduct Domestic Enquiry and supervising matters to IR/ER and upholding natural justice in dealing with the employee.
  • Responsible for reviewing the IR manual and Company’s related policies procedure.
  • Resolving grievances or queries that any of the employees might encounter. Escalating to the right level depending on the nature of the grievance or issue.
  • Negotiating collective bargaining deals between employer and employee
  • Managing dispute resolutions involving unions, management, employees or government agencies, etc.
  • Ensuring HR staff is knowledgeable about Company’s policies and comply to it.
  • Advise Company on legislation procedure.
  • Creating and revising documents/forms.
  • Preparing documentation regarding labor relations assignments.
Training and Development

  • Set effective performance targets & effective evaluation, develops and implements incentive plans to meet business performance requirements.
  • Conducting employee orientation and facilitating newcomers joining formalities.
  • Ensure employee understand and adhere to Company’s policies & practices.
  • Conduct Training Need Analysis, develop the company’s yearly training program and evaluate the effectiveness of the training programs conducted by the company.
  • Plan and organize programs of social, recreational and educational activities for employees’ participation such as Company annual events, team building and sports activities.
  • Managing health &safety issues that may arise.
  • Regular updating of communication channels
  • Implementing and administering performance appraisal management processes as per Company policy and timeline.
  • Conducting exit interviews for employees and record them accordingly.
  • Engaging with employees on a regular basis to understand the motivation levels of people in the organization.
  • Carry out all duties as assigned by the Management from time to time.
  • Undertake any ad-hoc assignment assigned by the Management as and when required.
Job Requirement
  • Minimum Diploma or Bachelor's Degree in Human Resource Management, Business Studies or equivalent.
  • Minimum 10 years working experience in the related field with good exposure in the full spectrum of Human Resource.
  • Able to speak and write Chinese, English and Bahasa Malaysia.
  • High level of confidentiality, professionalism and integrity.
  • Highly computer literate in Microsoft Office and various HR software programs including HR2000.
  • Exceptional analytical and problem solving skills
  • Honest, ethical, and dependable
  • Experienced in mediation and conflict resolution processes
  • Positive, go-getter attitude
  • Expert stress management skills and ability to make important decisions under pressure
  • Strong interpersonal skills, keen to motivate and effectively educate and connect department managers and employees regarding all HR matters
