Job Description

Job Responsibilities :-
 
• Lead Payroll and Compensation & Benefits Team in their task and all the continuous improvement projects.
• Implement, maintain and review monthly payroll processing systems to ensure quality and in a timely manner meeting the agreed Service Level Agreement (SLA) and internal Key Performance Indicator (KPI).
• To ensure accurate and timely processing of payroll transactions and updates including salaries, benefits, taxes and other statutory deductions for new hires, terminations, etc.
• Analyze, clarify and resolve operational issues and inquiries by working closely with relevant counterparts. All unsolved and potential operational issues are escalated timely according to establish escalation process with detailed analysis provided to Head of Department.
• Manage, verify and validate the overall payroll functions including payroll processing & payroll taxes.
• Serve as a Subject Matter Expert (SME) for team members if there are any escalations / challenges in regards of payroll processes.
• Ensures compliance of local payroll, wages as per the Employment Act 1955 and best practices.
• Manage all inquiries and government officials with regards to statutory i.e EPF, SOCSO, and LHDN.
• Administer statutory deductions and payments including EPF, SOCSO, LHDN etc. and to ensure timeliness, accuracy, regulatory and statutory compliance.
• Ensure up-to-date documentation is maintained, all processes and procedures are understood and executed in compliance with the Internal Audit and any other certification requirements.
• Facilitates audits by providing records and documentation to auditors.
• Identifies and recommends updates to payroll processing software, systems, and procedures.
• Manage payroll process improvement, standardization, and automation projects.
• Preparing payroll standard and ad-hoc reports as required by the Management and local regulatory bodies.
• Ensure the team manage and maintain an up-to-date all employee information, personnel files, ensuring archiving of leavers and cleansing of information held in line with the Personal Data Protection Act.
• Deal with employee salary and payroll queries including variable overtime and expense payments.
• Collate monthly time-sheets as required and process in line with company requirements.
• Respond and facilitate payroll-related inquiries by employees in the Company perform other assigned duties and when required.
• Performs any other duties as assigned by the Immediate Supervisor.
Compensation & Benefits (C&B)

To assist in Compensation & Benefits and Administration.
• Advise, plan and lead in benchmarking studies and research to determine latest thinking and external competitiveness with general market and comparator companies.
• Initiate, plan and lead in review of policies, guidelines and processes to ensure competitiveness and compliance.
• Lead in designing of new initiatives and programs where strategic and feasible.
• Initiate involvement and testing of draft reviews/design with relevant Heads and HR to ensure review / new initiative meets Company’s business and HR objectives/needs.
• Advise, plan and lead in deployment of review/initiative.
• Lead in ongoing communication, obtaining of feedback, maintaining and continuously
improving on policies, guidelines and processes.
• Establish and maintain relationships with representatives from leading companies and industry experts.
• Support departmental, company new initiatives / benefits as and when required. Flexible in taking on new responsibilities, open to new ideas and contributing ideas, work as a team to achieve the stated goal.
• To tabulate the performance appraisal data for the compensation purposes i.e. salary increment, bonus payout and promotion.
• Prepare HR headcount, staff cost reports, analysis and survey to review performances and enhancement needed.
• Liaise with medical and insurer panels on staff medical, insurance entitlements, verify medical and insurance claims and updating the latest staff list to company panels and insurance agents.
• Key Administrator to ensure Team member monitor, update, record and generate staff annual leave, non- pay leaves and other leaves to ensure it is applied, utilized and carry forward accordingly.
• Develop and conduct analyses, interpret results and make recommendations that support the development and maintenance of effective compensation and benefits program aligned with the organization's reward strategy.
• Administer the company's compensation and benefit in accordance with established policies so that employees receive the appropriate compensation and benefits for their position.
• Lead in job analysis and evaluation, salary administration, analyze compensation surveys and obtain all necessary information to prepare compensation proposal and budgets.
• Lead in salary benchmarking, salary budget allocation, annual salary review cycle exercise and application of annual salary review budgets.
• Collect data on company's Compensation and Benefit policies and analyze them to prepare reports and advise Management for making important decisions.
Other Ad-Hoc Task (Project Basis)

• To lead and participate in the new payroll system management including Payroll data migration and roll up in 2nd Quarter 2021.
• Under take the role as an Administrator and also super-user for the payroll system to proceed all the User Acceptance Test (UAT).
• Managing staff data creation and data maintenance in the new system.
• Managing an issues if any to be escalated to the technical and functional support.
• Identify issues and recommend opportunities for improvements into the new system.
• Load the actual data in the production. Reconcile all the data to ensure the data is accurate
and successfully migrated in the system.
• Downtime to migrate the payroll data in the system.
• Execute System Integration Test.
• Involved in UAT accomplishment. Load test data for UAT.
• Gather the key project documents to sign off the project.
Job Requirement :-

• Bachelor Degree in Business Administration, Human Resources, Accounting or other related field required.
• Minimum 5 years of related experience required including People Management and Supervisory experiences.
• Proficient in End-to-end Payroll Management, Benefits, Expats Admin and government sourcing compliance.
• Extensive knowledge of the payroll functions including preparation, balancing, internal control and payroll taxes.
• Excellent negotiation, organization, interpersonal skills and attention to detail.
• Excellent analytical, meticulous and creative problem-solving skills.
• Passionate and flexible to work at irregular hours.
• Strong mathematic skills with an ability to spot numerical errors.
• Proficient with Microsoft Office i.e Microsoft Excel or related software.
• Proficient with payroll software and good knowledge of labor legislation.
• Able to join immediately.
