Job Description

Overall Role Purpose:
  • Roles that manage support activities related to
  • Efficiency and process improvement initiatives
  • Purchase requisitions and purchase orders system and data reporting purpose
  • Monitor and report on compliance, controls, non-conformances and quality in assigned regions or selected countries
  • Daily, weekly and monthly reporting
  • Support for topics of non-compliance and data quality within each country
  • Close working relationship with internal stakeholders
  • Provide data for internal audit purpose
  • Master data management

Detailed Role Description:
  • Maintain, upkeep, and develop universal reports and reporting tools
  • Report and monitor established procurement processes related to sourcing / purchasing / corporate / BP policies
  • Collect and maintain data and ensure data quality maintenance and reporting on rates, catalog, supplier data / performances, purchase order admin
  • Support digitalisation and automation initiatives within the purchasing and sourcing community
  • Provide resource for global and region projects that involve efficiency, smart services and overall Procurement transformation roadmap
  • Generate project and cost analysis to support budgeting and new initiatives requirement
  • Provide administrative support to operational buying activities
  • Assist day-to-day activities within the purchasing organisation

Dealing with Key Stakeholders / Business Partners:
  • Maintain good relationships with internal customers and stakeholders in scope
  • Provide advice and support to internal customer with relevant database for making informed decisions related to catalog items, short form contracts, contracts quality, non-compliances, or any conformance issues that may arise
  • Provide input to sourcing and purchasing in respect of suppliers performance, data quality, contracts’ status
  • Contribute to the successful cooperation between global / region / country and sourcing community

Relevant Qualification:
Completed apprenticeship or relevant university degree or equivalent experience
Required Experience:
  • 3-5 years relevant experience in support and reporting functions within purchasing environment.
  • Work experiences in global multinationals will be advantageous.
  • Proficiency inEnglish & Mandarin – reading, writing & speaking.
  • Good knowledge of key purchasing processes in the specific area of expertise
  • Experience in working with MS Office suite (Office, Excel, Word, Powerpoint)
  • Working experience in building / mobilizing reports in MS Excel (using Pivots,Macro,Vlookup) would be advantageous
  • Professional communication style and analytical skills.
